Thank you for choosing to exhibit at the Future Transport Forum 2023.
Please find enclosed all the relevant information regarding the event.

Company Profile Information deadline
If you have yet to supply a company logo (.eps file) and 250-word profile text, please send this to conferences@landor.co.uk no later than Friday 16th December 2022.

Delegate Places deadline
Please ensure all the delegates in the allocation are registered for the event using the respective links sent via email by Friday 13th January 2023. Please contact us at conferences@landor.co.uk of any further concerns.
Due to the venue being a naval base, Landor LINKS must provide a full list of delegates that will be attending by Friday 13th January 2023.
Delegates who are not on the list will NOT be granted access to the venue.
There is no access in or out of the base between the hours of 17:30 - 18:30 on the day for security purposes. Please be aware of this if planning journeys/travel tickets.
Exhibitor Set up
The exhibition is taking place in the 1st floor banqueting suite.
Set up can be done on 17th January: 14:00 - 17:00

Please note you will not be able to deliver any of your items as the venue does not have any storage, incase you have a courier vehicle coming in on the day of setup, you would have to be present there to collect the items at the entrance and transfer them to the expo area in Action Stations.

Loading / Unloading
There is no dedicated loading bay for the venue however there is an allocated space on the opposite side of the Victory Gate entrance in front of the Ship & Castle Pub.
Vehicles can only be parked there for no longer than 15 mins.
All the exhibitors need to ensure that they are in posession of trolleys to carry their equipment through the Victory Gate entrance to the Action Stations.
If any exhibitors would need access inside the venue with their carrier vehicles inorder to unload heavy equipment, it needs to be communicated with Landor LINKS before Thursday 12th of January.
Those vehicles will be allocated a time slot and they will be escorted from the back entrance which is 2.6 miles away from the Action Stations taking approximately 30 mins to reach the Action Stations, this is as per the security protocol Naval Dockyard.
They can only escort 4 vehicles/8 people at a time. There would be approximately 15 minutes between each pick up time, so you will be allocated a slot among these three at 1400, 1415 and 1430.
We would need to provide the venue with the Vehicle type & Registration, Driver and Passengers full names, Nationality and DOB to the venue before 5 PM Thursday 12th January . All will require to show photographic ID, so either a driver’s licence or passport on the day please.

The exhibition format is open plan, table top style.
Each stand will be provided with a table and 2 chairs. Please note that shell schemes are not supplied for this event.

Post Event
The equipment after the breakdown of stands by the exhibitors need to be cleared off the venue before 17:30 on the 19th January. They would need to be taken the same way they are brought in via the Victory Gate Entrance.
